Project Administrators – Enviromental Management
 
Our client is seeking 3 highly organized and detail-oriented Project & Procurement Administrators for a contract position (April – June 2026). The successful candidate will support project coordination, financial administration, and supply chain management processes within a dynamic environment.
 
Key Responsibilities
1. Project Coordination
    • Coordinate logistics related to tender procedures and processes
    • Capture and maintain tender data on relevant systems
    • Track and monitor tender reports through approval stages
    • Maintain project and tender databases
    • Compile tender and contract reports
    • Manage archiving of tender documentation and approvals
    • Register construction projects above R200,000 on the CIDB system
2. Financial Administration & SCM
    • Obtain quotations for period tenders
    • Ensure compliance with financial management policies and procedures
    • Liaise with service providers and contractors for contract management
    • Process financial transactions in SAP (WBS, requisitions, service entries, work orders, etc.)
    • Provide technical input for purchase orders and RFQ processes
    • Reconcile payments against budgets and orders
    • Ensure timely submission of payment certificates with supporting documentation
    • Assist with financial year-end processes (roll-over)
    • Prepare financial reports (qualitative and quantitative data)
3. Information & Stock Control
    • Manage stock receipting and movement in line with procedures
    • Prevent losses through effective inventory control
4. Reporting
    • Provide regular updates to supervisors
    • Extract and compile reports from information systems and databases
    • Respond to ad hoc reporting requirements
5. Procurement Administration
    • Verify SAP transactional documentation (requisitions, delivery notes, etc.)
    • Resolve pricing and documentation queries
    • Validate supplier documentation against physical goods
 
Minimum Requirements:
    • Grade 12 (Matric)
    • 1-year Project Management Certificate (advantageous)
    • Computer literacy (MS Office)
Experience:
    • Minimum of 5 years’ relevant experience
 
Skills & Competencies:
    • Proficiency in SAP (relevant modules) – essential
    • Knowledge of municipal or city processes – advantageous
    • Strong administrative, coordination, and reporting skills
    • High attention to detail and accuracy
    • Ability to manage multiple tasks and deadlines
