Our client is a dynamic organization committed to excellence and innovation. We are seeking a highly organized and detail-oriented Secretary/Personal Assistant to provide comprehensive administrative support to their Executive Director. This role is pivotal in ensuring the smooth and efficient operation of the executive office.
Key Responsibilities:
As the Secretary/Personal Assistant, you will be responsible for:
- Diary Management: Efficiently manage the Executive Director’s daily schedule, including scheduling meetings, appointments, and travel arrangements.
- Minute Taking: Attend meetings, take accurate and comprehensive minutes, and ensure timely distribution to relevant stakeholders.
- Telephone and Message Management: Handle incoming calls professionally, take messages, and redirect calls as necessary.
- Confidential Secretarial Support: Provide confidential administrative support, including drafting correspondence and preparing reports.
- System Development and Maintenance: Develop and maintain efficient office systems to support the effective functioning of the office.
- Research and Reporting: Conduct research and prepare reports, ensuring accuracy and attention to detail.
- General Administrative Duties: Perform general administrative tasks as assigned, contributing to the overall efficiency of the office.
Qualifications & Experience:
- Education: Matric (Grade 12) is essential.
- Computer Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required.
- Experience: A minimum of 2 years’ experience in a similar role, providing administrative support at an executive level.
- Skills:
- Exceptional organizational and time-management abilities.
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information.
- Proactive and able to work independently with minimal supervision.
