Introduction
The parts Inventory Manager is responsible for the efficient and profitable operation of the parts department at our repair facility. This role involves overseeing inventory management and staff supervision.
Duties & Responsibilities
Inventory planning and forecasting
Monitoring stock levels
Ensuring accuracy in inventory records IMPORTANT!
Optimising warehouse organisation IMPORTANT!
Implementing inventory control policies and procedures IMPORTANT!
Leading and supervising warehouse staff
Providing insights to management
Inventory planning and Monitoring of stock levels
Take ownership of daily inventory updates and stock checks
Develop systematic approaches to monitor stock levels, incorporating regular stock audits and training staff on effective inventory handling practices. Any discrepancies to be investigated and reconciled
Handle returns of incorrect parts and restock them efficiently
Spotcheck high-value or fast-moving items weekly. Select a sample of 10 items to randomly check. Compare actual stock to recorded stock
Be aware of minimum and maximum stock levels Minimum level: Triggers replenishment. Maximum level: Prevents overstocking.
Ensuring accuracy in inventory records
Ensure regular counts of inventory to ensure errors are caught early
Ensure that every incoming part is verified and recorded correctly
Inspect all incoming parts for damage, accuracy and compatibility
Check the capturing of received items into the system for accuracy
Investigate and resolve mismatches between physical and system inventory
Optimising warehouse organisation
Maintain an organised storage layout based on part categories
Ensure shelves and bins are accurately labelled
Ensure stock is rotated routinely – new items placed behind older stock so the oldest gets picked first.
Maintain cleanliness and accessibility to all stock
Implementing inventory control policies and procedures
Ensure all staff adhere to the internal controls in place
Ensure all documentation for audits, including purchase orders, delivery receipts etc are accurately maintained
Providing insights to management
Collaborate with senior management regarding providing updates on the department’s progress and presenting actionable insights
Actively engaging in regular communication with internal departments such as finance and purchasing to enhance operational efficiency
Arranging discussions around potential improvements
QUALIFICATIONS:
Matric
At least 3-5 years experience
